At TEAM FTC KIDS LLC, we are committed to protecting the privacy and personal information of the children and families who participate in our middle school running programs. This Privacy Policy explains how we collect, use, store, and share personal data, and what choices you have regarding your information.

We work primarily with children ages 7 to 14 and their parents or legal guardians. Because of this, we take extra care in handling data and ensuring that our communications are clear, respectful, and appropriate for families. This document is intended to help you understand your rights and how we protect your family's privacy.

Collection, Use, and Disclosure of Personal Information

What Information We Collect

When a parent or guardian registers a child for our programs, we collect the following information:

• Parent/guardian name and contact details (email, phone number, mailing address)

• Child’s name, age, and date of birth

• Emergency contact information

• Health or allergy information (if voluntarily provided)

• Waiver agreements and consents

• Membership and payment history

We do not knowingly collect personal information directly from children. All registration and communication must be completed by a parent or legal guardian.

How We Use This Information

We collect this information in order to:

• Register your child for running programs

• Communicate with families about team updates, practices, or emergencies

• Process membership payments through Wild Apricot

• Maintain attendance and safety records

• Comply with insurance and legal obligations

When We Share Information

We do not sell or share personal information with outside organizations for marketing or commercial purposes. Your information may only be shared in the following cases:

• With medical personnel in an emergency

• With legal or law enforcement authorities if required by law

• With Wild Apricot (our website and membership platform provider), solely for managing your membership

Children’s Privacy

TEAM FTC KIDS LLC is a youth program, so we prioritize the protection of children's information. Any information related to a child is only collected with a parent’s or guardian’s knowledge and consent.

We will never contact children directly, and we do not publicly post names, photos, or identifying information of children without explicit, written permission from a parent or guardian.

Giving Consent for Others

When registering a child, the parent or guardian is confirming that they have the legal authority to provide the child’s personal information. If a family registers multiple children, or a coach registers participants, that person is responsible for obtaining appropriate consent from each child’s legal guardian.

Third-Party Applications

Our website and membership services are managed through Wild Apricot, a secure online platform for non-profit and membership-based organizations. Wild Apricot may process and store your data solely to support membership management.

We do not authorize Wild Apricot or any third-party service to use your information for their own purposes. You can read more about Wild Apricot’s privacy practices on their official site.

Security

We use industry-standard measures to protect your personal data, including encryption and secure access to our membership database. Access to your data is limited to authorized coaches and administrators of TEAM FTC KIDS LLC who are trained to handle sensitive information.

• Access the personal information we hold about you or your child

• Correct inaccurate or outdated information

• Request that we delete your or your child’s data (unless required by law to retain it)

Terms of Use

By registering your child with Team FTC Kids, you agree to the following terms:

1. Eligibility
   Team FTC Kids programs are open to children in grades 2–8. All participants must have a current membership and completed registration form, including emergency contact information and relevant medical disclosures.

2. Conduct
   Participants are expected to demonstrate respectful and responsible behavior at all times. Parents and guardians are responsible for reviewing expectations with their child and ensuring transportation to and from practices and events.

3. Safety
   Team FTC Kids coaches prioritize participant safety, but running and physical activity carry inherent risks. By participating, you acknowledge and accept these risks.

4. Schedule & Cancellations
   Practice schedules are subject to change due to weather or unforeseen circumstances. Cancellations will be communicated via email or group messaging with as much notice as possible.

5. Membership Access
   Membership includes access to practices based on your selected plan (1, 2, or 3 days per week). Comprehensive Coaching is an optional add-on that requires a Club or Performance membership and a GPS watch.

6. Use of Information
   All participant information is handled in accordance with our [Privacy Policy]. By signing up, you consent to the collection and use of data necessary to manage your membership and communicate with you.

7. Photo/Video Consent
   You may be asked to approve or decline photo/video consent separately. Images may be used for promotional or educational purposes with permission.

Refund Policy

We understand that family schedules and circumstances can change. Please review our refund policy below:

1. Monthly Memberships

   • Membership fees are billed monthly and cover the selected number of practice days per week.

   • Refunds will not be issued for missed practices or partial months once payment has been processed.

   • If you need to cancel or change your plan, please contact us before your next billing cycle to avoid being charged.

2. Comprehensive Coaching Add-On

   • The $30/month coaching add-on can be canceled at any time prior to the next billing cycle.

   • No partial refunds will be issued for mid-month cancellations.

3. Cancellations Due to Weather or Scheduling

   • In the event of weather-related cancellations or unforeseen changes, we will make every effort to reschedule, but refunds will not be provided unless we cancel the program for the remainder of the season.

4. Withdrawals Before the Season Begins

   • If you pre-register and decide to withdraw before the first official practice (August 11th), we will issue a full refund upon request.
